Walt Disney World: Early Planning Tips for a Stress-Free Vacation (12-9 Months Out)
Planning a Disney vacation can be an exciting and overwhelming experience, but with the right steps in place, it becomes manageable and enjoyable. In part two of this four-part series, we’ll dive into the key tasks to accomplish 12 to 9 months before your trip. This stage is all about laying the groundwork: deciding on your budget, researching resorts, and making early plans that will shape the rest of your Disney adventure. Taking the time to get organized now will ensure a smoother experience later on.
Set a REALISTIC Budget for Disney—Then Add a 10% Buffer
Before diving into the details of your trip, set a realistic budget that works for your family. A variety of budgets can work for Disney, so even on smaller budgets, you can still have a magical vacation. Whether you're looking for a luxury stay or a more economical experience, your budget will help you determine the best place to stay and any extras you can plan for, like dining experiences or special tours.
Once you establish a budget, add a 10% buffer for unexpected costs. Things like last-minute souvenirs, additional meals, or transportation expenses may pop up, and having that extra cushion ensures you're covered without stress.
If you are going during the height of hurricane season September - November I would actually have a 20% buffer - it is rare for Walt Disney’s old to shut down during a hurricane but it has happened once a year in 2022, 2023 and 2024. Disney does give you discounts but it would be nice to have that buffer just in case and if you do not need it, you have more for souvenirs!
Research Resort Options: On-Property or Off-Property?
One of the most important decisions you’ll make is where to stay. Disney offers a wide range of on-property resorts that cater to different budgets, from Value and Moderate Resorts to Deluxe Resorts and DVC Villas. Staying on-property has many perks, such as extra park hours, convenient transportation, and proximity to all the magic.
If staying on-property is your goal, check out our blog on the differences between the various resort tiers to see what fits your family’s style and budget. If you're considering off-property accommodations, research nearby hotels or vacation homes that might offer more space or different amenities. Each option has pros and cons, so it’s worth weighing them based on your budget and family needs.
Should You Use a Travel Agent?
Decide if you want to consider using a travel agent to help with planning. Travel agents can be a great tool, especially when it comes to making reservations and waiting on hold for you. If you’re nervous about losing control over your vacation by using an agent, don’t worry! A good travel agent will work as your partner in planning, not take over the process. Make sure to choose one who comes highly recommended and has experience with Disney vacations. Start Making a List of Must-Do Attractions
You’ve probably already heard about certain rides and attractions that are must-do experiences at Disney parks. Now’s the time to start making a list of what your family is most excited about. You can also ask friends or check out our Well Hello Magic blog, podcast, and YouTube channel, where we break down how to choose attractions that are perfect for your family. I also have a family interest survey that helps you start to figure out what you like and don’t like about Disney. It’s important to match your interests that you already have and pair it with what is alreayd there are the disney parks.
Remember, your list can be flexible. You’ll have time to adjust it as you get closer to the trip, but having an idea of what your family is looking forward to will help shape your days in the parks.
Look Into Transportation to Orlando
Will you fly, drive, or perhaps take an RV for your Disney trip? Start looking into transportation options early to lock in the best rates and availability. If flying, research airlines and keep an eye on price drops. If driving, map out your route, decide on stops, and prepare for a road trip. For RV travelers, look into RV parks and amenities around the Orlando area.
Planning a Multi-Generational or Multi-Family Trip?
If you’re planning a Disney trip with extended family or multiple families, now is the time to have important discussions with all the adults involved. Talk about expectations, budget limits, and who will be the point person for each family. Make sure each family sets a firm budget and communicates their preferences. It’s crucial to get everyone on the same page early, so no one is surprised later. Check out our blog on traveling with friends and family for tips on making this kind of trip as smooth as possible.
Put Your Dates on the Calendar
Make a firm decision about the dates for your Disney trip and put them on the calendar. Consider how much time you’ll need off work, and start blocking those days. Be sure to check Disney’s calendar for any special events happening during your stay. From festivals to after-hours parties, there might be something extra magical to plan for!
Deciding When to Tell the Kids
Once you've locked in your trip, decide when and how you want to break the news to your kids. Some families enjoy the surprise reveal, while others like to involve their kids in the countdown from the very beginning. However you decide to do it, make sure it adds to the excitement and anticipation! I have a blog all about when the right time is to tell your kids and how to tell your kids to get the response you want!
Now that you’ve got the foundational steps in place, it’s time to prepare for the next part of your planning journey. In Part 3, we’ll talk about how to set a realistic budget for Disney—and why you should always add a 10% buffer! Stay tuned for more tips and guidance to help you plan the Disney vacation of your dreams.
